About The Position

We are looking for an Administrative Assistant to provide high-level administrative and coordination support to Operations and Maintenance teams. Reporting to the Operations and Maintenance Manager and working collaboratively within a large, fast-paced team environment, you will be responsible for maintaining control of multiple tasks with a high level of attention to detail, accountability, and ownership. This includes preparing correspondence, reports, presentations, agendas, and meeting minutes, managing complex calendars and coordinating meetings effectively, and receiving, screening, and directing visitors, mail, and emails. You will also be responsible for maintaining accurate files, records, and document control systems, arranging business travel, coordinating meetings, and tracking expenses. Additionally, you will support administrative standards, policies, and practices across the organization, manage dashboards, monthly reports, and support functional or special projects. The role also involves managing end-to-end service requests for internal stakeholders, coordinating uniform orders and sending project notices for Operations and Maintenance work, creating and managing isolation tags, and conducting quarterly housekeeping audits. You will also support document management for maintenance teams.

Requirements

  • High school diploma or equivalent
  • Valid driver’s license
  • 4+ years’ experience in a clerical or administrative assistant role
  • Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, and Outlook)
  • Strong ability to manage multiple priorities while maintaining accuracy and flexibility
  • Excellent communication skills and a collaborative, team-focused approach
  • Ability to work professionally and effectively with stakeholders at all levels
  • This role is only available to U.S. permanent residents who do not require visa sponsorship now or in the future.
