About The Position

The Administrative Assistant provides comprehensive administrative and operational support to the Telecenter and interdisciplinary team. This position serves as the primary administrative resource for staff, patients, families, visitors, providers, vendors, and community members by coordinating communications, scheduling, medical records, supplies, and office operations. The Administrative Assistant promotes exceptional customer service while supporting efficient workflow and ensuring compliance with agency policies, Medicare/Medicaid Conditions of Participation, accreditation standards, HIPAA requirements, and the mission and philosophy of TRU Community Care.

Requirements

  • High school diploma or equivalent required.
  • Minimum of six (6) months of administrative support experience in a healthcare, hospice, home health, or medical office environment; hospice experience preferred.
  • Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and electronic medical record (EMR) systems.
  • Ability to maintain confidentiality and exercise sound judgment while handling Protected Health Information (PHI).
  • Successful completion of required background checks and drug screening.
  • Compliance with agency health screening and immunization requirements.

Nice To Haves

  • Hospice experience preferred.
  • Experience coordinating with physicians, healthcare providers, vendors, and outside agencies preferred.

Responsibilities

  • Answers, screens, and routes incoming telephone calls, emails, and electronic messages.
  • Conducts tours of the Care Center and provides general information regarding hospice and agency services.
  • Assists with scheduling patient visits, interdisciplinary team meetings, care conferences, and follow-up appointments.
  • Provides administrative support to the Clinical Manager, Medical Director, and interdisciplinary team.
  • Coordinates incoming referrals, medical records, physician documentation, and external communications.
  • Tracks outstanding physician orders and follows up to ensure timely completion.
  • Verifies required administrative documentation is complete prior to processing admissions and referrals.
  • Coordinates Durable Medical Equipment (DME) orders with contracted vendors as directed by the clinical team.
  • Orders office supplies and monitors inventory to support daily operations.
  • Maintains patient records in compliance with agency policy, HIPAA regulations, and accreditation standards.
