About The Position

Management and Training Corporation (MTC) is seeking an Administrative Assistant to join their team at the Marana Detention Facility in Marana, Arizona. This role is crucial for maintaining a safe and secure working environment while supporting detainees in gaining valuable skills for successful release. The Administrative Assistant will perform a variety of clerical and administrative duties with a high degree of discretion, adhering to MTC and customer directives.

Requirements

  • High school diploma or equivalent.
  • Four (4) years of clerical experience at an administrative assistant level.
  • Proficient in the use of a computer, including various computer applications.
  • US Citizenship or Lawful US Permanent Resident required.
  • Must successfully complete required preservice training.
  • Valid driver’s license with an acceptable driving record required, unless waived by management.
  • Must successfully complete annual in-service training requirements and maintain appropriate facility clearance.

Nice To Haves

  • Associate degree in business administration, secretarial science, or associated field strongly preferred.

Responsibilities

  • Perform a variety of secretarial and administrative duties, including taking minutes of meetings and preparing correspondence, reports, and other documents.
  • Operate office equipment such as computers, fax machines, and copy machines.
  • Receive telephone calls and visitors, tactfully referring them to the appropriate individual if the facility administrator is unavailable.
  • Maintain the calendar of events, schedules, and appointments, and take minutes of meetings.
  • Coordinate meeting arrangements, including time, place, attendees, and the subject matter to be discussed.
  • Maintain a correspondence control log and coordinate the preparation of special reports.
  • Maintain a central library of required documents, handbooks, directives, facility operating procedures, etc., and ensure distribution to designated staff.
  • Participate in the development of new and revised facility operating procedures in compliance with corporate procedures, and maintain and update master facility operating procedures.
  • Make recommendations for the purchase of equipment and supplies, and maintain expense account records and confidential files.
  • Plan and coordinate facility functions as directed.
  • Ensure regular and predictable onsite attendance.
  • Work overtime when directed to do so.
  • Promote the development of positive social skills through modeling appropriate behaviors and intervening when inappropriate behaviors are observed.
  • Maintain accountability of detainees and property, and adhere to safety practices.
  • Perform other duties as assigned within the scope of work as directed by management.
