About The Position

This role involves a wide range of front-desk and reception duties, including greeting clients, managing a multi-line phone system, scheduling appointments, handling client check-ins (verifying information, collecting payments, documenting), reconciling cash drawers, processing mail and faxes, assisting clients with intake forms, and managing customer service interactions. The position also includes data entry into electronic systems for client demographics, eligibility, and program-specific data. Additional responsibilities may include providing support to Health Information staff, filing and maintaining records, performing administrative tasks such as typing and data entry, generating requisitions, taking meeting minutes, running and validating reports, coordinating IT functions, participating in the daily deposit process, monitoring and ordering office supplies, and coordinating administrative functions related to medical treatments like lab appointments. The role may also involve acting as a liaison with the Properties department and potentially serving as an Infection Prevention Representative.

Requirements

  • High School Diploma
  • Three-to-four years’ experience working in an office setting
  • Performing various administrative tasks

Nice To Haves

  • Completion of up to 18 months’ business school, beyond high school preferred

Responsibilities

  • Meeting and greeting clients and visitors
  • Answering multi-line switchboard and forwarding calls
  • Taking and delivering messages
  • Checking in clients, verifying demographic information, collecting payment, documenting payment, and notifying clinicians
  • Reconciling cash drawer
  • Scheduling client appointments
  • Copying, sorting, and delivering mail
  • Sending and receiving/delivering faxes
  • Meeting with clients to explain and assist with signing intake forms
  • Handling difficult customer service interactions
  • Entering client data (demographics, eligibility, program-specific data) into electronic information systems and databases
  • Providing HIM related support to Health Information staff, as needed
  • Filing and maintaining correspondence, records, reports, and other documents
  • Performing administrative functions including typing, data entry, generating requisitions, and taking meeting minutes
  • Running and validating monthly/quarterly reports, problem-solving inaccuracies, and taking action on report results
  • Coordinating work site’s IT functions, as needed
  • Participating in the daily deposit process, including reconciliation
  • Monitoring work site’s inventory of office supplies and ordering supplies
  • Performing medical treatment-related administrative functions, coordinating lab appointments
  • Functioning as a liaison with SCS’s Properties department, submitting work orders and communicating site needs
  • Functioning as an Infection Prevention Representative, monitoring supplies, attending meetings, and communicating measures to staff
