Job Summary Incumbent must work a percentag of time each week in the Omaha, NE office. We are looking to hire an experienced Administrative Assistant to support the EVP General Counsel. The ideal candidate will have Executive Assistant experience, be organized with a desire for collaboration, and exude a servant's heart. You will thrive in situations that challenge you to shift course at a moment's notice and exercise your creative freedom to turn conceptual ideas into communications distributed companywide.

Requirements

  • 4+ years of administrative support experience, or business operations role.
  • Proficiency in Office 365 products such as Outlook, OneNote, SharePoint, Teams, Word, Excel, PowerPoint.
  • Excellent internet research capabilities.
  • Expert in making travel arrangements and tracking/submitting expenses.
  • Strong Zoom knowledge—setting meetings, facilitating interactive features like votes, chats, problem solving.

Nice To Haves

  • Executive level support preferred.
  • Working knowledge of social media—Facebook, LinkedIn, Twitter.

Responsibilities

  • Proactively, plan, organize and prioritize activities and projects to include assembling information, developing presentations, calendar and travel arrangements and preparing standard and ad hoc reports as requested.
  • Coordinate training and meeting support for on and off-site meetings, which may include arrangement for participation, facilities, equipment, meals, transportation, etc.
  • Maintain relationships with external parties and/or vendors which may involve positively representing the company with vendors, partners and customers, ordering materials, coordinating area wide marketing budgets, scholarships, billing and coordination.
  • Ability to cultivate strong internal relationships, will be asked to share completed documents with those across all levels of the organization.
  • Serve as the teams contact person to answer questions in a timely manner.
  • Assist with team communications, monitoring budgets, and completing special projects as needed.
  • Organize and respond timely to incoming correspondence, initiate action and follow up on matters requiring attention.
  • Create dynamic presentations for leaders for internal and external meetings in programs like PowerPoint, Keynote, Sway or Prezi.
