Competition # 135-26-701305 Posting End Date: Open Until Filled City: Winnipeg Work Location: MacCharles Department: Outpatient Clinic Services Program & Systemic Therapy Program Union: Non-Union Hiring Status: Temporary Reason for Term: Other Leave Anticipated Start Date: ASAP FTE: 1.0 Anticipated Shift: Days Daily Hours Worked: 7.5 Annual Base Hours: 1950 Salary: $27.611, $28.587, $29.428, $30.396, $31.306, $32.472, $33.511 Job Summary: The Administrative Assistant at CancerCare MB (CCMB) will be responsible for providing high level administrative support and office management to the staff for the Outpatient Clinic Services Program (OCSP) and the Systemic Therapy Program (STP). Under the supervision of the Administrative Officer, the incumbent will provide confidential administrative support for OCSP and STP leadership, enter payroll when required, support program statistics and perform other duties as assigned to meet the objectives. The incumbent will also assist the department with hiring, coordination and minute taking of meetings, preparation and upkeep of administrative standard operating procedures, preparation of financial paper work and coverage for out-of-scope administrative duties. The Administrative Assistant will be required to work in a fast-paced environment and to prioritize a large complex workload to meet deadlines. The incumbent has the ability to coordinate workflow and meet deadlines with frequent interruptions, exercise sound judgment, maintain confidentiality, and be willing to assume a variety of assignments, as required. The candidate must be a self-starter, have the ability to work both independently and in a team setting with minimal supervision. The incumbent will work to ensure a high level of coordination and communication between OCSP & STP, CCMB senior leadership as well as the various CCMB departments.

Requirements

  • Successful completion of a recognized Administrative Training Program from an accredited educational institution.
  • 3 years directly related experience, supporting an intermediate / senior level leader
  • Experience on payroll entries for department staff
  • Experience recording and preparing minutes and agendas
  • Ability to work in a fast-paced environment and work effectively under pressure to meet deadlines
  • Ability to coordinate and work with a multidisciplinary team
  • Strong organizational, prioritization skills, & attention to detail
  • Strong computer literacy and proficiency in MS Office Suite (Outlook, Word, Excel, Access, PowerPoint)
  • Excellent communication (written and verbal) and interpersonal skills
  • Ability to work effectively both independently and as a member of a team
  • Ability to work in several competing priorities simultaneously
  • Demonstrated problem-solving and organizational skills
  • Demonstrated excellence of written and verbal communication skills
  • Ability to compose correspondence on behalf of leadership
  • Experience scheduling and coordinating meetings and travels
  • Experience maintaining spreadsheets and databases
  • Excellent keyboarding skills 65 WPM.
  • Must be able to work safely in a typical computerized office environment and able to lift and carry items
  • Must have satisfactory employment record.
  • Must be legally able to work in Canada.
