About The Position

The SWAN PAE Administrative Assistant (AA) provides administrative support to the SWAN PAE Department, Practice Standards Division Manager, Post-permanency and Program Technical Assistants, statewide. The primary responsibilities include assisting with preparation and execution of remote and on-site meetings, preparing materials, and maintaining records. This position is the point of contact for the SWAN Google group and for AdoptUSKids (AUSK) Membership.

Requirements

  • High school diploma or equivalent.
  • Three years office experience is required.
  • Demonstrated knowledge of office administrative procedures.
  • Ability to utilize standard office equipment at a level generally acquired through three or more years related experience.
  • Attention to detail.
  • Proven ability to work independently to achieve goals and deadlines.
  • A valid driver’s license.

Responsibilities

  • Assist the PAE Division with preparation and execution of internal, regional, and statewide meetings by securing remote or on-site meeting space, distributing meeting information to attendees, providing technical support, preparing and distributing materials such as agendas, meeting minutes, PowerPoints, handouts, etc., and coordinating supplies and meals.
  • Support PAE events by preparing videos and materials, and providing hands-on assistance at the in-person events, as needed.
  • Complete tasks related to PAE Annual Report, as needed.
  • Act as point of contact for SWAN Google Group memberships.
  • Support TV station child tapings for placement on YouTube and Adopt PA Kids website.
  • Assist and/or act as a back-up to other departmental AA’s for meeting support, preparing training materials, data entry, and other assignments, as needed.
  • Other duties as assigned.
