About The Position

Requirements

  • High School Diploma or equivalent.
  • Minimum 2 years prior office administration experience.
  • Ability to work without direct supervision.
  • Ability to read, write and speak English.
  • Ability to work flexible schedules that may include nights, weekends, and holidays.
  • Computer literate.
  • Ability to type 30 wpm.
  • High level of attention to detail.
  • Effective communication skills, both written and oral.
  • Excellent Customer Service skills.
  • Strong organizational planning skills.
  • Strong practical skills.
  • Strong analysis and problem-solving skills.
  • Basic math skills.
  • Ability to work in a union environment.

Responsibilities

  • Backup for records recording the accumulation and use of vacations, holidays, sick days, and miscellaneous leaves of absence.
  • Ensure compliance with union agreements, company policies, and applicable labor regulations.
  • Organize work by utilizing tools, such as MS Excel and office equipment.
  • Maintain employee confidence by keeping information confidential.
  • Assist with employee inquiries related to payroll, HR and leaves.
  • Perform data entry and maintain accurate financial records in accounting systems.
  • Assist with accounts payable and receivable, including invoice processing and vendor payments.
  • Reconcile bank statements and transit-related financial transactions.
  • Maintain general ledger entries and support monthly closing activities.
  • Prepare financial reports, summaries, and documentation for management review.
  • Provide general administrative support to transit management team.
  • Maintain organized filing systems (electronic and physical) for financial records.
  • Manage office inventory and working with vendors to insure regular supply of office material.
  • Answer phone calls, respond to emails, and assist with internal and external inquiries.
  • Coordinate scheduling, meetings, and documentation for transit operations.
  • Support audits by preparing and organizing required financial and payroll documentation.
  • Other duties as assigned.
