The First Nations Capital and Infrastructure Agency of Saskatchewan (FNCIAS) is a non-profit organization dedicated to supporting Saskatchewan First Nation communities in planning, procuring, owning, and managing their infrastructure assets. Reporting to the Senior Human Resources Manager, the Administrative Assistant plays a critical role in ensuring the smooth and efficient operation of First Nations Capital and Infrastructure Agency of Saskatchewan (FNCIAS). This position provides administrative and logistical support to the leadership team and staff, ensures the office operates effectively, and contributes to the overall success of FNCIAS by maintaining an organized, welcoming, and professional environment. The Administrative Assistant will interact with internal and external stakeholders, many of whom represent First Nations communities across Saskatchewan.

Requirements

  • Post-secondary education in Office Administration, Business Administration, or a related field, with at least two (2) years of administrative assistant experience. An equivalent combination of education and experience will be considered.
  • Demonstrating a passion for improving housing and infrastructure outcomes in First Nations communities is required.

Responsibilities

  • Serve as the first point of contact for visitors, calls, and correspondence, ensuring professional and culturally respectful interactions.
  • Manage daily office operations, including unlocking/locking front doors, scheduling meetings, maintaining office supplies, maintaining office equipment, and organizing files (both digital and physical).
  • Support leadership and managers with administrative tasks such as drafting letters, preparing reports, and minute-taking.
  • Coordinate meetings, events, and workshops, including logistics, catering, materials, and technology setup.
  • Monitor and manage incoming and outgoing mail and courier services.
  • Maintain accurate records and filing systems in accordance with FNCIAS policies and records retention guidelines.
  • Liaise with vendors, service providers, and building management as needed.
  • Coordinate fleet vehicle processes and ensure regular maintenance and issues are addressed promptly.
  • Monitor office supplies inventory and place orders as required.
  • Keep meeting minutes and document action items where required.
  • Other administrative and support duties as assigned.
