About The Position

This position is under the general supervision of the Building Administrative Supervisor. Assuring a steady completion of workload in a timely manner is key to success in this position along with being resourceful, efficient, organized and comfortable being a member of a team.

Requirements

  • Excellent verbal and written skills.
  • Experience with Word, Excel, Outlook.
  • Ability to multitask in a fast-paced environment.
  • Good attendance is a must.

Nice To Haves

  • 1+ years of experience as an administrative assistant is preferred.

Responsibilities

  • Quality control of all transmittals to prepare for logout process.
  • Assist Plan Checkers with stamping & collating hard copy plans.
  • Digitally stamp and collate digital reviews.
  • Compare hard copy plans with digital reviews for final approval.
  • Update City portals with transmittals and approved plans as required.
  • Provide as needed support and coverage with scanning plans and documents, when staff are unavailable.
  • Manage Building staff calendar.
  • Receptionist duties, including but not limited to: phone coverage, mail, ordering supplies, scheduling conference room meetings, updating phone and HR lists with departing and new employees, ordering lunch for meetings.
  • Order flowers for employees when requested by HR Department.
  • Maintain inventory of all office and kitchen supplies and replenish when needed.
  • Maintain appearance of kitchen and supply room.
  • Deliver plans to clients when staff are unavailable.
  • Perform other related duties as required.
