About The Position

The Administrative Assistant provides office/business support to department and generally reports directly to a(n) Associate Director, Director or Senior Director-level manager.

Requirements

  • Basic knowledge of Microsoft Office products
  • Good time management and organizational skills to prioritize work and/or multi-task
  • Attention to detail
  • High school or secondary school education
  • 2 years of experience or the equivalent combination of education and experience

Responsibilities

  • Schedules meetings, secures conference rooms and orders catering for assigned personnel
  • Serves as a departmental resource for Vertex's internal technologies (i.e; Procurement, SharePoint, Concur, Vertex U, VLearn, etc.)
  • Assists with booking flights/hotels and completing expense reports for assigned personnel
  • Based on established departmental procedures, prioritizes and addresses requests for appointments, e-mails and telephone calls; handles routine and straightforward requests and routes advanced items to more senior personnel
  • Processes group purchase orders, invoices, and contracts
  • Assists with visitor registration, including pre-registering and escorting visitors
  • Assists with onboarding of new employees into assigned department
