About The Position

This position provides full administrative support to the department chairperson and faculty within the Department of Accounting, Economics, and Finance at Harrison College of Business and Computing. The role involves greeting visitors, answering phones, scheduling campus visits, and providing customer service. Key responsibilities include managing financial transactions such as calculating, recording, balancing, and monitoring income, expenditures, and account transfers, as well as processing purchase requisitions and invoice payments. The role also entails entering class and instructor information into a University database, processing textbook requests, maintaining department waiting lists, running prerequisite checks, and handling bookkeeping for faculty/staff/student professional development and travel. Additionally, the position supports the organization and minute-taking for department meetings, maintains mailing lists and department inventory, composes various documents, manages department and student files (both paper and electronic), schedules appointments and travel, corresponds with students, and assists with maintaining the department web page. The role also includes supervising and managing student workers and organizing office workflow.

Requirements

  • High school diploma or GED
  • Demonstrated complete administrative skills, including excellent interpersonal, verbal and written communication skills
  • Excellent organizational and time management skills
  • Demonstrated ability to handle multiple tasks with frequent interruptions
  • Demonstrated ability to work independently with minimal supervision
  • Evidence of ability to record data and provide attention to detail
  • Demonstrated ability to maintain positive relationships and understanding of customer service
  • Ability to handle sensitive and confidential information

Responsibilities

  • Provide full administrative support to the department chairperson and faculty
  • Greet visitors; answer phone lines; and schedule campus visits; provide quality customer service to constituencies
  • Calculate, record, balance, and monitor monthly income, expenditures, and account transfers
  • Process purchase requisitions and invoice payments
  • Enter detailed class information and instructor information into a University database for each term
  • Process textbook requests from faculty
  • Maintain department waiting lists for classes; run prerequisite checks for classes
  • Complete bookkeeping requirements related to faculty/staff/student professional development and travel
  • Help organize, attend, and take minutes at all department meetings
  • Maintain various department mailing lists
  • Maintain all department inventory (hardware, software, and supplies)
  • Compose and produce letters, memos, and reports
  • Maintain and organize department and student files, both paper and electronic
  • Schedule appointments, meetings, make reservations and travel arrangements
  • Correspond with current and prospective students
  • Help maintain department web page
  • Supervise and manage student workers; organize the flow of work through the office
