About The Position

ACS Motion Control is looking for an Administrative Assistant to support our USA team’s diverse business activities. We are looking for someone who thrives in a small office environment, has a service-oriented mindset, and is tenacious when it comes to solving challenging problems.

Requirements

  • Proficient with Microsoft 365 tools – Copilot, Outlook, Word, Excel, SharePoint
  • Customer-facing administrative experience in a B2B company - Required

Nice To Haves

  • Business degree or certification - Advantage
  • HR administration experience - Advantage
  • Accounting/bookkeeping administration experience – Advantage
  • Marketing administration experience - Advantage

Responsibilities

  • Logistics and RMA admin support – work with carrier, customs broker, HQ office, and customer to resolve issues with shipments
  • Sales admin support – provide quotes/pricing according to sales manager request
  • Manage inventory of loans and demo units
  • Process and manage payroll
  • Benefits administration e.g. 401k
  • Employee hiring, onboarding, termination support
  • Update policies and procedures in coordination with corporate HR
  • Event coordination
  • Logistics and event coordination support
  • CRM database support
  • Social media account support
  • Materials/collateral creation support
  • Issue payments to vendors, government agencies
  • Process payments from customers
  • Follow up with and collect payments from aging accounts
  • Process tax payments and support tax return processing
  • Light shipping and receiving
  • Office supplies stocking
  • Communication with property manager
  • Handle main line phone calls, voicemails, mail
