About The Position

The primary responsibilities of this role include serving as the front desk coordinator and providing assistance to employees and project managers in the Bismarck office and other locations. The position involves a wide variety of office administrative tasks such as document creation and editing, printing, copying, scanning, filing, organizational projects, answering calls, processing incoming and outgoing mail, and participating in various operational activities. Key duties also include making travel arrangements for staff and managing the company fleet.

Requirements

  • High School diploma or equivalent required.
  • 3-5 years of office experience with a professional services firm preferred.
  • Strong computer skills and experience with Microsoft Windows/Office products (Word, Excel, Outlook, PowerPoint).
  • Ability to interact in a positive manner and work both independently and in team environments.
  • Excellent customer service, oral, and written communication skills.
  • Adaptable and comfortable with shifting priorities.
  • Detail-oriented, self-motivated with strong interpersonal and organizational skills.
  • Ability to make sound decisions.
  • A valid driver’s license is required or the ability to obtain one.
  • Flexible and willing to pitch in as needed.
  • Perform responsibilities in a conscientious, legal, and ethical manner with a strong attention to detail.
  • Ability to operate a computer under normal ergonomic office conditions.
  • Ability to lift boxes and supplies up to 35 lbs.

Nice To Haves

  • Associates Degree specializing in administrative assistant, business, or related field is preferred.
  • Previous experience working in an engineering, architecture, or construction firm considered a plus.

Responsibilities

  • Serve as the front desk coordinator.
  • Provide assistance to employees and project managers.

  • Answer phone calls.
  • Process incoming and outgoing mail.
  • Engage in a variety of operational activities.
  • Make travel arrangements for staff.
  • Manage the company fleet, including vehicle coordination and scheduling maintenance and repairs.
  • Inventory and order supplies for the Bismarck and other offices.
  • Plan, coordinate, and host internal social and business events.
  • Perform daily office opening and closing duties, including office upkeep.
  • Attend company and project meetings as requested.
  • Understand and follow company employee handbook and mandated safety policies.
  • Participate in training opportunities.
  • Perform other duties as assigned.
