About The Position

This role involves showing and leasing apartments to prospective residents, focusing on customer service and resident satisfaction. The Administrative Assistant will assist the Resident Manager with personnel functions, advertising, and resident relations, working collaboratively with the service staff to maintain community quality standards set by Dewar Properties, Inc. The position requires maintaining a professional and friendly atmosphere, greeting visitors, assisting residents, showing properties, understanding market conditions, collecting rent, reviewing applications, completing resident documents, and complying with landlord-tenant and Fair Housing laws.

Requirements

  • High school diploma or equivalent.
  • A valid driver’s license and automobile insurance.
  • Previous experience with property management preferred.
  • Ability to utilize common office equipment such as copiers, fax machines, phone systems, workstations, and laptop computers.
  • Knowledge of or ability to learn computer software specific to each property (e.g., rent roll, One Site, Classic).
  • Strong customer service skills.
  • Ability to speak effectively with residents and co-workers.
  • Ability to add and subtract, multiply and divide using units of American money, weight measurements, volume, and distance.
  • Ability to apply common sense understanding to carry out instructions in written, oral, or diagram format.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to lift under 10 pounds on a constant basis (66% to 100% of the time).
  • Ability to lift less than 20 pounds on a frequent need (33% to 66% of the time).
  • Ability to lift over 25 pounds on a rare need (less than 10% of the time).
  • Constant need (66% to 100% of the time) for writing/typing, grasping/turning (telephone/doorknob use), and finger dexterity (operation of office equipment).

Responsibilities

  • Maintain a professional and friendly atmosphere in the leasing office and common areas.
  • Greet all incoming traffic courteously and professionally.
  • Assist residents with questions or concerns.
  • Meet with prospective tenants to show property and explain occupancy terms.
  • Maintain awareness of local market conditions and trends, contributing marketing ideas.
  • Collect rent and process rent deposits.
  • Review and approve or reject resident applications.
  • Complete required resident documents according to corporation, HUD, and LIHTC standards.
  • Understand and comply with state landlord-tenant and Fair Housing laws.
  • Answer incoming phone calls courteously and professionally.
  • Complete lease applications and conduct verification.
  • Type resident communications as needed.
  • Organize and file reports, leases, and paperwork.
  • Send thank you notes and follow up with prospective tenants.
  • Stamp, sort, and distribute mail.
  • Photocopy documents.
  • Inventory office supplies and report to the manager.
  • Deliver items to other business establishments.
  • Work independently as a project leader and as a team member, relating well to others at a distance.
  • Meet all report deadlines set by upper management.
  • Respond to emergency situations on the property.
  • In collaboration with the Resident Manager, assign employee duties and obtain bids for outside contractors.
  • Communicate openly and honestly with employees and the Resident Manager.
  • Build high morale and obtain group commitments to goals and objectives.
  • Be honest and ethical in all financial matters, reports, and resident relationships.
  • Represent the company professionally on and off the property.
  • Inspect property, pick up litter, and report service needs to maintenance.
  • Attend company meetings when requested.
  • Assist other staff members as needed.
  • Drive motorized vehicles on and off property for company business.
  • Perform any additional duties assigned by the manager.
