About The Position

We are currently seeking an Administrative Assistant to join our team at AKBA! In this role, you will serve as the first point of contact for visitors and callers while providing administrative support across multiple departments, including HR, Accounting, and Internal Sales. This position plays a key role in ensuring the smooth day-to-day operations of the front office, while also supporting various administrative tasks and projects that contribute to overall office efficiency.

Requirements

  • Minimum education: High School Diploma
  • Minimum 2 years in a customer service-related field
  • Minimum 2 years in data entry preferred
  • Proficiency in Microsoft Word, Excel and Outlook
  • Strong customer relations proficiency
  • Excellent written and verbal communication aptitude towards a global and multi-cultural customer base
  • Must be highly detail oriented and able to convey a professional brand image
  • Strong teamwork and time management skills
  • Experience supporting multiple departments.
  • Ability to lift up to 25lb

Responsibilities

  • Receptionist: Welcome visitors and answer main phone line with courtesy and professionalism
  • Employ appropriate judgment to properly route customer inquiries (sales, field service, engineering, R&D, etc.)
  • Notify co-workers of visitor arrival and ensure visitor logs are accurately maintained
  • Host visitors to our facility (schedule meeting rooms, manage hotel reservations, reserve ground transportation, order meals for guests)
  • Receive, sort and appropriately distribute mail
  • Maintain office supply inventory including office supplies; coffee supply; breakroom and conference room supplies, etc.
  • Administrative Support: Provide clerical support for Executives, Accounting, Client Services, Quality and other departments as needed
  • Support company events, meetings, and internal activities as needed.
  • Assist with general HR administrative tasks and internal communications.
  • Support the accounting team with data entry and administrative tasks.
  • Provide administrative assistance to the internal sales team as needed.
  • Additional Duties/Responsibilities: Support Staff and Management as needed
  • Assist with various administrative projects and tasks as assigned to support business and departmental needs.
