About The Position

R.J. Burnside & Associates Limited (Burnside) is a Canadian and International engineering and environmental consulting firm, founded in 1970. Our 450+ strong team provides exceptional solutions to clients across industries. We have an exciting full-time opportunity for a dynamic Administrative Assistant to join our talented team working out of our Mississauga office. Reporting to the Administrative Manager, this opportunity will offer the successful candidate the chance to be an integral part of the company’s administration team, working in-office on a variety of technical and administrative tasks. Our administrative support team are revered for their strong technical skills and ability to thrive in a fast-paced, time sensitive environment.

Requirements

  • Minimum of 2-5 years of administrative experience with a focus on document production and editing
  • Successful completion of a Post Secondary education in Business Administration or relevant experience
  • Excellent computer skills (SharePoint, Microsoft Word, Excel, PowerPoint, Adobe Acrobat DC) with demonstrated interest and ability to learn new systems
  • Familiarity with and comfort level working with styles and templates in MS Word
  • Strong time management and organizational skills
  • Effective communication skills (written/verbal)
  • Flexibility to work overtime, when required
  • Ability to work in-office: 9:00 a.m. to 5:00 p.m.

  • Administrative experience in an engineering consulting firm is considered an asset

Responsibilities

  • Providing administrative support for technical staff, including correspondence, report/proposal, tender document and payment certificate preparation, mail merges, meeting minutes, agendas, filing, etc.
  • Document control and application of company standards, checking work for accuracy, consistency, outstanding or incorrect items
  • Reception and general office duties (incl. switchboard, maintaining boardrooms, ordering catering, ordering office supplies, coordinating office upkeep, etc.)
  • Processing and distributing incoming/outgoing mail and couriers
  • Schedule meetings and interacting with clients and internal staff on behalf of project managers; and
  • Other duties as assigned.
