About The Position

Our client, a consumer beauty products organization, is seeking an Administrative Assistant for an onsite, three-month contract engagement in Los Angeles, California. The role provides broad administrative and office support to a busy commercial team. This position suits an organized, proactive administrator who anticipates needs rather than waiting to be asked. It offers varied day-to-day work in a fast-moving consumer products environment and genuine visibility across the business.

Requirements

  • Prior administrative assistant, receptionist, office coordinator, or comparable support experience is required.
  • High school diploma or equivalent.
  • Proficiency in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint is required.
  • Accurate data entry and comfortable general computer literacy.
  • Strong organizational skills.
  • Ability to manage multiple requests and prioritize sensibly.
  • Discretion with confidential information.
  • Clear professional communication.
  • Must be legally authorized to work in the United States for the duration of the engagement.

Nice To Haves

  • Experience in the beauty, cosmetics, consumer products, or retail sector is preferred.
  • An associate or bachelor's degree is advantageous but not required.
  • Familiarity with Google Workspace, ERP or order management systems, and basic accounts payable or bookkeeping processes is valued.
  • Bilingual capability.
  • Event coordination experience.
  • Any exposure to marketing or sales support are also viewed favorably.
  • Experience in a fast-moving consumer goods or retail environment where priorities shift frequently is valued.
  • Familiarity with shipping and order documentation.
  • Comfort supporting multiple managers with competing requests.
  • Any experience coordinating trade shows, product launches, or team events are all advantageous.

Responsibilities

  • Provide general administrative support including calendar and meeting coordination, travel booking, expense report preparation, and the drafting and formatting of documents, presentations, and correspondence.
  • Manage incoming calls, emails, and mail, routing items to the right people and following up to ensure requests are closed out.
  • Maintain organized digital and physical filing systems that colleagues can actually navigate.
  • Support routine business processes including purchase order creation, invoice tracking and submission, vendor coordination, and data entry into company systems, maintaining accuracy in every record you touch.
  • Assist with office operations such as supply management, meeting room and event logistics, visitor reception, and new starter setup coordination.
  • Provide project support to departments as workload requires.
  • Maintain shared calendars, trackers, and team documentation so that colleagues can find current information without asking, and follow up proactively on outstanding items rather than waiting for reminders.
  • Support onboarding logistics for new team members, coordinating equipment, access, and first-week scheduling with the relevant internal contacts.
