About The Position

Performs general administrative duties and provides support to department heads at Woodland Pond, including Admin, Finance, and Resident Services, on a limited basis as assigned. This role may also function as a Unit Clerk or Receptionist/Concierge, depending on the needs of the facility.

Requirements

  • High school graduate with a minimum of five years of progressive business experience.
  • Proficient in word processing, desktop publishing, and spreadsheet software.
  • Demonstrated knowledge of appropriate communication skills for individuals of all ages, especially the geriatric population.

Nice To Haves

  • Bachelor's degree preferred with two years of administrative coordination, assistant, or secretarial experience.

Responsibilities

  • Answers telephone calls, takes messages, or directs calls to the appropriate party.
  • Ensures all necessary documentation (MARs, Resident Chart, Physician Consult sheets) is in order for onsite MD appointments.
  • Documents all in-house appointments in the Outlook calendar and on the SNF whiteboard.
  • Updates and maintains various forms and supplies, including ADL sheets, check sheets, fluid intake forms, and physician consult forms.
  • Manages resident self-scheduled appointment forms and transportation request forms.
  • Prepares resident emergency packets and updates existing resident census in AOD.
  • Maintains SNF admission packets and files chart documents, including PT/OT/SP forms.
  • Orders office supplies and equipment through Central Supply.
  • Processes and maintains Incident and Accident Reports, including faxing reportable incidents to DOH and maintaining fax confirmations.
  • Logs Assisted Living I&A's into tracking sheets in Excel.
  • Receives new orders, delivers them to nurses, and files them in charts after processing and sign-off.
  • Prepares MAR and TAR for Care Plan Meetings.
  • Maintains, activates, and monitors PERS and wander guard devices.
  • Maintains all records not part of the resident's chart in an organized manner for DOH.
  • Prepares new admission charts, including admission packets, face sheets, CNA documents, and resident bracelets.
  • Completes room checklists and ensures appropriate room supplies are available.
  • Assists with AOD order entry for new admissions.
  • Breaks down discharged resident charts and distributes them to appropriate personnel.
  • Greets visitors and staff in a friendly manner, ensuring all visitors sign in and are directed to the appropriate location.
  • Maintains visitor badges and monitors Status Solutions for emergencies.
  • Updates daily census for the Health Center and the 'Report of Nursing Staff' sheet.
  • Performs filing for administrative department heads and types correspondence.
  • Assists with incoming and outgoing mail for administrative departments.
  • Assists the marketing department with material preparation and mailings.
  • Aids with limited administrative tasks for the Residents Council.
  • Performs additional administrative tasks as assigned.
