About The Position

The Administrative Assistant to the Principal at Bristol Elementary is responsible for providing essential clerical support to ensure the smooth and efficient operation of the school office. This role is crucial in creating a welcoming environment and fostering positive relationships with staff, students, parents, and visitors, serving as a key first impression for the school community. The position involves a wide range of administrative tasks, including document preparation, maintaining confidentiality, managing files, handling inquiries, and supporting budget monitoring.

Responsibilities

  • Prepares, composes, transcribes, and types documents, correspondence, reports, newsletters, and schedules for communication with school and District personnel, students, parents, and the public.
  • Maintains confidentiality of private material concerning the District or individuals.
  • Maintains files for supervisor(s) and/or department(s).
  • Determines the needs of inquiries (mail, email, phone, office visits), provides information or direction, and resolves issues based on knowledge of District policies and procedures, or refers to the appropriate party.
  • Receives visitors into the school office, ascertains the purpose of their visit, and provides information or directs them to the proper person.
  • Proofreads, edits, and prepares materials for printing, approval, and distribution.
  • Initiates contact and transacts business with outside agencies and parties.
  • Prepares and distributes related reports, and maintains enrollment databases appropriate to the specific area of responsibility.
  • Develops organized and efficient systems to meet building/department needs, establishes and maintains files, and assists in monitoring building/department budgets.
  • Assists with ordering office supplies and inventory of office/department supplies.
  • Processes mail, schedules appointments, and makes travel arrangements for staff.
  • Operates standard office equipment and is proficient in word processing, basic spreadsheet skills, and Google Applications.
  • Utilizes student information systems and budget databases.
  • Schedules building tours.
  • Maintains student records and attendance.
  • Records teachers’ absences and substitute requests.
  • Manages maintenance requests and works closely with the building custodial supervisor.
  • Maintains supplies and maintenance for computers, copiers, and printers.
  • Performs other duties as assigned.
