About The Position

The Financial Services Office at the Department of Licensing (DOL) is seeking a highly motivated Administrative Assistant to join their exceptional team. This role provides high-level, confidential support to the Chief Financial Officer (CFO) and helps keep the Finance Office running smoothly. The DOL is a visible state agency and the second-largest revenue generator in Washington State, engaging with over 6 million residents annually and collecting nearly $3 billion in taxes and fees. Requirements

  • Five (5) years of progressively responsible office/clerical, secretarial, or general administrative work experience.
  • One (1) year of experience leading, supervising or directing others.
  • Three (3) years of experience providing administrative support to a supervisor, work unit, or high-level manager which would include scheduling, managing a calendar, managing assignments, acting as a delegated authority, working independently, proactively preparing for work assignments, etc.
  • Three (3) years of experience using Microsoft Suite office products to include M365, Outlook, Excel, Word, Power Point, and OneNote.
  • Two (2) years of experience composing, formatting, proofreading, and editing professional correspondence, emails, memos, letters, and documents, applying "plain talk" principles and clear communication guidelines.
  • Two (2) years of experience working effectively with others by using listening skills and clear written and oral communication techniques to convey timely, persuasive messages that obtain the cooperation of other departments or other government agencies.

Nice To Haves

  • Experience using SharePoint to track work assignments, create pages, maintain sites, and site permissions.
  • Experience applying project management principles to projects and in work environment.
  • Experience assisting with managing a budget.
  • Experience using software to create and prepare pages/content for updating/publishing web pages such as WordPress.
  • Knowledge of state, federal and local government organization/functions, and legislative, policy, and budget procedures and documents.

Responsibilities

  • Provide high-level, confidential support to the CFO.
  • Manage executive calendars.
  • Prepare polished communications.
  • Coordinate special projects.
  • Support division leaders.
  • Assist with projects and meeting management.
  • Coordinate all required meeting documentation and confirm meeting attendees, locations, and facility needs.
  • Perform special projects assigned by the CFO.
  • Conduct analyses on finance and/or Director's Office related issues.
  • Prepare executive-level correspondence and reports for CFO and exercise signature authority on administrative matters.
  • Purchase travel, training, software renewal agreements, equipment and supplies for staff using discretion and accountability for appropriate use of funds.
  • Serve as Human Resources Liaison (HRL) for the CFO and Financial Services Office (FSO) Managers and staff.
