About The Position

We are seeking a highly qualified and professional Administrative Assistant to support the Office of the Superintendent. The successful candidate will be responsible for managing a variety of administrative and office management functions to ensure the smooth and efficient operation of the Superintendent's Office and the District as a whole. This position requires consistent use of independent judgment, discretion, and the ability to manage complex and confidential matters. The ideal candidate will demonstrate exceptional organizational, written, and interpersonal communication skills.

Requirements

  • High school diploma or equivalent (GED) required
  • Five to seven years of experience supporting C-level or senior leadership, preferably in a school district or public sector environment
  • Strong computer skills, including proficiency in Microsoft Office and other relevant software
  • Excellent written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Professional demeanor and ability to interact with diverse stakeholders

Responsibilities

  • Provide administrative support to the Superintendent in day-to-day operations
  • Serve as a liaison for the Superintendent by answering telephone calls, recording and relaying messages, distributing mail, directing inquiries to appropriate staff, and greeting visitors
  • Schedule meetings, hearings, and appointments on behalf of the Superintendent
  • Handle routine and confidential correspondence independently
  • Enter and retrieve data from computer systems as needed
  • Prepare, assemble, and distribute Central Office Cabinet and Administrative Council meeting schedules, reminders, and minutes
  • Manage BoardDocs for Board of Education agendas and minutes
  • Maintain organized and confidential filing systems for the Superintendent
  • Prepare and distribute Board of Education agendas and supporting documentation for regular and special meetings
  • Draft and distribute public relations materials issued from the Superintendent's office
  • Monitor department budgets, track expenditures, and order supplies/equipment for the Superintendent and Board members
  • Coordinate Board of Education activities and correspondence
  • Maintain the Superintendent's appointment calendar, including scheduling meetings, travel, and conferences
  • Maintain confidentiality of sensitive materials (e.g., personnel matters, salary data, negotiations)
  • Prepare and edit reports, correspondence, and other documents as needed
  • Assist in the development and publication of the district's annual calendar
  • Screen and route incoming mail; finalize correspondence drafts, ensuring proper formatting and proofreading
  • Keep the Superintendent informed of items requiring attention or action
  • Maintain tactful and professional communication with staff, families, and community stakeholders
  • Maintain strict confidentiality at all times regarding sensitive information, including personnel records and evaluations
  • Interact professionally and positively with staff, students, parents, and community members
  • Represent the Superintendent's office with professionalism in appearance, attitude, and communication
  • Assist with district public relations initiatives and safety events as needed
  • Perform other duties as assigned by the Superintendent
