About The Position

This full-time, in-office role requires a proactive, detail-oriented professional with exceptional communication, multitasking, and project coordination skills. The Administrative Assistant will provide seamless administrative and operational support in a fast-paced environment.

Requirements

  • Bachelor’s degree and at least 5 years’ experience supporting senior executives, preferably in wealth management, fiduciary, or investment management.
  • Self-starter with excellent judgment, initiative, and attention to detail.
  • Strong organizational, prioritization, and follow-through skills; ability to manage multiple tasks under tight deadlines.
  • High degree of professionalism and discretion with confidential information.
  • Strong written and verbal communication skills; confident and polished interpersonal presence.
  • Collaborative team player with a service-oriented mindset and positive attitude.
  • Proficiency in Microsoft Office, video conferencing, and CRM tools.
  • Valid United States work authorization and not eligible for visa sponsorship.

Nice To Haves

  • Familiarity with Workday, Salesforce/Practifi, and Exact Target a plus.

Responsibilities

  • Provide comprehensive administrative support, including complex calendar and meeting management across multiple time zones.
  • Anticipate and manage priorities, screen requests, and ensure timely follow-up with discretion and judgment.
  • Work with the Chief of Staff and other executive support professionals on cross-functional projects and strategic initiatives.
  • Draft, edit, and format correspondence, agendas, and meeting materials; record and distribute meeting notes as needed.
  • Serve as a primary point of contact for internal and external stakeholders, maintaining a polished and professional presence.
  • Coordinate detailed travel logistics and itineraries.
  • Prepare and process expense reports in Workday, ensuring accuracy and compliance.
  • Track and reconcile office-related expenses in partnership with senior leadership and Accounts Payable.
  • Maintain contact databases and organize digital filing systems.
  • Support office operations, including time-off tracking, hospitality, IT, and facilities coordination, and event logistics.
  • Assist with onboarding new hires and supporting recruiting coordination.
  • Collaborate with the firm’s national administrative team, participating in monthly discussions to share best practices and problem-solve across offices.
  • Perform other projects and ad hoc assignments as needed.
