About The Position

Under general supervision, the Administrative Assistant for Residential Life provides administrative, financial, procurement, payroll, and operational support, coordinates communications and recruitment activities, maintains records and databases, assists with budgeting and compliance, supports Residential Life programs, and provides work direction to student assistants. Provides comprehensive administrative and clerical support to the Residential Life unit within Student Housing and Residential Life. Serves as a primary point of contact for customer service, responding to inquiries from students, staff, and external stakeholders. Coordinates recruitment logistics for Residential Life professional and student staff positions by managing interview schedules, communicating with candidates, and serving as a liaison between search committee chairs and applicants to ensure a seamless recruitment process. Processes invoices and ensures timely payment by tracking each invoice through completion. Performs monthly reconciliation of financial records and proactively identifies and resolves discrepancies. Processes time reporting for Residential Life staff by tracking employee timesheets, monitoring absence balances, and verifying self-reported time within the campus payroll management system. Performs other duties as assigned.

Requirements

  • Equivalent to three (3) years of full-time, general office clerical work.
  • Proficiency in Microsoft Office Suite.
  • Ability to learn and utilize university administrative systems.
  • Ability to exercise sound judgment.
  • Ability to work independently.
  • Ability to coordinate projects.
  • Must be authorized to work for any employer in the United States.

Nice To Haves

  • Experience in Higher Education and /or Student Housing and Residential life is preferred.
  • Experience working with and leading student assistants is a plus.
