About The Position

Your Support Services Network (YSSN) is a non-profit charitable organization dedicated to supporting individuals with mental health challenges, developmental disabilities, and complex needs. We aim to help them build meaningful connections and live their best lives. We are seeking an Administrative Assistant - Operations (Reception) to serve as the first point of contact for clients and visitors. This role involves liaising with clients, their families, partnering agencies, suppliers, and the general public, ensuring they are directed to the appropriate program or staff member for assistance. The ideal candidate will possess strong administrative skills, excellent communication abilities, and a customer-focused approach.

Requirements

  • Grade 12 or equivalent education with training in Microsoft Office programs.
  • Minimum two years’ experience in a reception/administrative role.
  • Intermediate Microsoft Office skills (Word, Excel, Outlook).
  • Experience and familiarity with data entry.
  • Excellent interpersonal and communication skills.
  • Ability to multi-task and effective organizational skills.
  • Must be within a commutable daily distance from the office and/or service area.
  • Successful applicant will be required to provide a police clearance that meets agency standards.
  • A valid G Drivers License, access to a reliable vehicle and adequate insurance coverage for business responsibilities, OR access to reliable transportation.
  • Successful candidates will be required to submit proof of a primary series of a COVID-19 vaccine authorized by the World Health Organization directly to the Human Resources department.

Responsibilities

  • Serve as the first point of contact to clients and visitors.
  • Liaise with clients, their families, partnering agencies, suppliers, and the general public.
  • Effectively direct individuals to the appropriate program or staff member for support and assistance.
  • Act as a lead for purchasing and maintain office supplies.
  • Manage calendars.
  • Coordinate meetings.
  • Oversee meeting room bookings.
  • Manage incoming calls, faxes, and both internal and external mail.
