About The Position

The Office Admin Associate serves as an Administrative Assistant and as a core liaison between the Discovery Theme and Neuroscience Research Institute. This role coordinates and schedules high-level recruitment visits, plans and prepares itineraries, and organizes interviews, meetings, recruitment events, and seminars. The position oversees and makes travel and lodging arrangements for visiting recruits, screens and routes all information, correspondence, and mail received for Discovery Themes, and independently responds to correspondence and inquiries on behalf of the Associate Dean and DTI PI (Principal Investigator). Responsibilities include answering phones, screening and directing calls, and providing background materials to facilitate action on requests received. The role also coordinates CME (continuing medical education) applications, outreach initiatives for lectures, meetings, programs, and venues. Additionally, it involves developing, preparing, and distributing meeting agendas and minutes for the Neuroscience Research Institute, and researching and compiling information and data for the DTI and faculty Director of the Neuroscience Research Institute to aid in strategic decision-making and initiatives, conveying directives.

Requirements

  • High school diploma or GED.
  • 2 years of relevant experience required.
  • 6 months experience (600 hours course work or training) in customer service or communications, including researching, analyzing and interpreting information.
  • 3 months experience (300 hours course work) in budgeting, required.
  • Requires successful completion of a background check.

Nice To Haves

  • Certification or vocational training may be required.
  • Associate degree in relevant field may be preferred.
  • 4-6 years of relevant experience preferred.
  • Significant office experience in a support role, including experience with scheduling appointments.
  • At least 6 months experience working with spreadsheets, publication software and related computer experience, desired.
  • Selected candidate may be requested to complete a pre-employment physical including a drug screen.

  • Researches and compiles information and data for use by DTI and faculty Director of the Neuroscience Research Institute to aid in strategic decision making and initiatives.
  • Conveys directives.
