About The Position

This role provides comprehensive administrative support to the department, requiring strong organization, coordination, and discretion when handling confidential information. Responsibilities include maintaining office files and databases, tracking attendance, vacation, and overtime, and managing a variety of operational documents such as work orders, safety logs, and personnel records. The position also coordinates meetings, schedules training, and ensures staff remain up to date with required certifications, contributing to the smooth and efficient functioning of departmental operations.

Requirements

  • Administrative Assistant Certificate or equivalent
  • Minimum of 2+ years of in an administrative/clerical support position
  • High School Diploma or equivalent
  • Proficiency in MS Office (Excel, PowerPoint, Word & Outlook)
  • Possess and maintain a valid driver’s licence

Responsibilities

  • Perform wide variety of administrative support duties, a significant number of which require a high degree of organization, coordination and confidentiality.
  • Organize & maintain office files
  • Provide confidential administrative assistance to members of department
  • Maintain department vacation & attendance tracking
  • Maintain the safety meeting action log, overtime tracking, departmental personnel requisitions, vacation leave requests, shift cycle inspection reports, daily work order requests, work orders, component change sheets, time cards, FLRA’s, planned job observations, request to stock
  • Coordinate all meetings, book the meeting room and send meeting invites out through outlook
  • Maintain and keep department personnel updated on required training needs and schedule accordingly
  • Maintain Action Card Database
