About The Position

Carolina Family Health Centers, Inc. is a nonprofit, federally qualified health center (FQHC) dedicated to providing accessible and affordable healthcare to the community. Our integrated model offers primary medical care, behavioral health, pharmacy, and dental services. The Administrative Assistant – Medical plays a crucial role in supporting the day-to-day administrative operations of the Chief Medical Officer (CMO), Director of Clinical Services, Integrated Behavioral Health, and Ryan White programs. This position is key to ensuring coordinated communications, effective meetings and events, and supporting the planning and development of clinical departments. This role offers a 40-hour workweek with no weekends, a full benefits package, 12 paid holidays, and bi-weekly pay.

Requirements

  • High school diploma or GED.
  • Minimum five years of administrative assistant experience.
  • Effective organizational skills, interpersonal and communication skills.
  • Intermediate level experience with MS Word, MS Excel, and MS PowerPoint.
  • Must have the ability to maintain confidentiality.
  • Must be detail oriented.
  • Must have the ability to multi-task.

Responsibilities

  • Coordinates functions within the clinical department and among other departments within the organization, enhancing organizational efficiency and effectiveness.
  • Prepares correspondence and other documents for approval and distribution.
  • Receives and organizes requests for leave that require Chief Medical Officer approval.
  • Receives and organizes purchase orders and other documents that require Chief Medical Officer review and/or approval; including clinical audit reports.
  • Supports the Chief Medical Officer by organizing and preparing agenda items for monthly meetings; preparing minutes and other supporting materials.
  • Monitors clinical policies and procedures for review and revision.
  • Monitors clinical position descriptions for review and revision.
  • Coordinates annual performance reviews for the Chief Medical Officer.
