About The Position

The Salvation Army is seeking an Administrative Assistant & Junior Accountant to manage the day-to-day operations of the Finance Department. This role involves data entry, audit preparation, scheduling, and assisting with account reconciliations, all while ensuring adherence to policy and procedure guidelines. The position supports the Divisional Finance Secretary and the Finance team, acting as the TSAMM Command Administrator and managing Finance Web authorization levels. Responsibilities include processing credit card requests, maintaining finance web pages, updating forms and policies, and responding to general finance inquiries. The role also involves coordinating meetings, tracking workflow items like invoices, and maintaining both electronic and physical files according to audit standards. Additionally, the position assists with basic accounting tasks, including data entry for Accounts Receivable and Accounts Payable, processing check batches, reviewing vouchers, and maintaining knowledge of the Chart of Accounts. Training support for corps and staff is also part of the role, along with vendor maintenance and other related duties.

Requirements

  • High School Diploma or GED.
  • Two years’ experience in the accounting field, or equivalent education.
  • Computer literate and able to work in Microsoft Word, Excel and Outlook or email program with a high level of accuracy and attention to detail.
  • Able to understand, follow and receive English written and oral instructions.
  • Ability to speak, read, comprehend, write and communicate effectively in the English language and in a professional manner.
  • Ability to maintain patience and courtesy in dealing with a wide range of people and their needs.
  • Must be well organized, self-motivated, flexible, and possess good people skills.
  • Ability to address multiple projects in a time sensitive manner is essential.
  • Must possess the self-discipline necessary to perform repetitive tasks without lowering quality of work.
  • Must be able to maintain confidentiality.
  • Ability to maintain highest level of security in addressing oral and written communications as well as the filing of correspondence to protect the integrity.

Responsibilities

  • Provide administrative support for the Divisional Finance Secretary and Finance team (filing, tracking requests, documentation).
  • Serve as TSAMM Command Administrator, including user setup and maintenance.
  • Manage Finance Web authorization levels and updates.
  • Process and track JPMorgan Chase corporate credit card requests and changes.
  • Maintain and update the Finance landing page and internal resources.
  • Assist in updating, organizing, and distributing finance forms, policies, and procedures.
  • Respond to general finance inquiries and route requests appropriately.
  • Provide system logistics updates whenever changes to Division Officers and Staff affect the Finance department.
  • Work with meeting coordination, scheduling, and preparation of supporting materials.
  • Handle special projects as assigned.
  • Coordinate and track workflow items such as invoices and approvals to ensure timely processing.
  • Maintain and organize electronic and physical files in accordance with audit standards.
  • Assist with audit preparation.
  • Assist with basic accounting tasks such as data entry, report preparation, and reconciliations as assigned.
  • Support processing and data entry of Corps Accounts Receivable and Accounts Payable in a timely manner.
  • Assist in the processing of check batches.
  • Support reviewing vouchers for policy and procedures and General Ledger coding.
  • Maintain working knowledge of the Chart of Accounts and proper coding practices.
  • Assist with corps training and other staff as needed.
  • Generate reports and reconciliation spreadsheets.
  • Perform vendor maintenance.
  • Perform other related duties as assigned.
