The Administrative Assistant, Investments provides direct support to the Director of Investor Relations, including but not limited to, the day-to-day operation and handling correspondence with fund managers, banks, the investment fund manager/consultant group, the debt management company and the members of the Territorial Investment Committee. This is a part-time position based on a 4 day, 28-hour work week at our Eastern Territorial Headquarters in West Nyack, NY.

Requirements

  • Three years of administrative assistant or office support experience required; preferably in the field of investments or finance.
  • Associate's degree or equivalent work experience required; bachelor’s degree preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Familiarity with basic bookkeeping.
  • Strong oral and written communication skills.
  • Keen attention to detail while multi-tasking and ensuring deadlines are met.

Responsibilities

  • Serves as a positive and professional representative of Investor Relations and The Salvation Army.
  • Support the Director of Investor Relations with the day-to-day operation.
  • Handle all communications with strict confidentiality and under the guidance of the Director of Investor Relations.
  • Maintain an up-to-date calendar for the department and the Director of Investor Relations. The department calendar should include submission dates for various reports.
  • Maintain accurate and complete files, hard copies and electronic files.
  • Reconcile, process and submit all expenses through the Smart Data system for the Director of Investor Relations.
  • Territorial Investment Committee: Prepare quarterly meeting materials, send meeting invitations, attend, and prepare meeting minutes.
  • Collaborate productively with the Secretary for Business Administration, the Finance department, and the Legal department.
  • Upon the guidance of the Director of Investor Relations, provide reports and information to internal departments, and external partners such as financial institutions, the fund manager/consultant group and the debt management company.
  • Assist with the gathering of information, preparation and submission of reports on a regular basis (monthly, quarterly, and/or annual) for the Territory's investment fund manager/consultant group, debt management company, and/or financial institutions (Bank of America, JPM Chase, US Bank and TD Bank).
  • In conjunction with the Director of Investor Relations and the Territory’s investment fund manager/consultant group, complete the execution of new subscription agreements.
  • Assist with the preparation of the Annual Stewardship Report to be released annually in May.
  • Organize and coordinate meetings upon request by the Director of Investor Relations.
  • Assists the Secretary for Business Administration with PowerPoint presentations, Minute revisions and special projects as requested.
  • Other Duties as assigned.
