Requirements

  • High school diploma or equivalent (required)
  • Minimum of 5 years of progressively responsible administrative experience, including support for senior leaders (required).
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), including calendar optimization and presentation design.
  • Strong written and verbal communication skills, with attention to detail and accuracy (required).
  • Demonstrated judgment, discretion, and problem-solving in fast-paced, ambiguous situations.
  • Must receive a satisfactory pre-hire drug screen and background check.
  • Must possess a valid Driver’s License and clean driving record.
  • Must be able to meet the physical requirements.

Responsibilities

  • Provide advanced administrative support to senior leaders and/or cross-functional teams.
  • Manages complex calendars and logistics, prepares executive-quality materials, and independently solves problems in ambiguous situations.
  • Acts as a coordination hub across departments and may mentor other administrative staff.
  • Anticipate scheduling needs and manage complex calendars across multiple executives or teams; prioritize competing demands.
  • Coordinate executive travel, itineraries, and multi-stop logistics; proactively resolve conflicts and last-minute changes.
  • Prepare board-ready or executive-level communications, reports, and presentations with minimal guidance.
  • Drive meeting outcomes: develop agendas, compile briefing materials, take executive notes, track decisions, and ensure follow-through.
  • Handle confidential and time-sensitive information with discretion; manage compliance with policy and records retention.
  • Coordinate cross-functional projects and departmental workflows, track milestones and dependencies.
  • Liaise across Finance, HR, IT, Legal and external partners to ensure seamless operations.
  • Lead small events or offsites (vendor management, budgets, logistics, contingency plans).
  • Maintain dashboards, metrics, and process documentation; recommend and implement process improvements.
