About The Position

The Administrative Assistant III provides administrative support for operations on a college-wide scale, division-wide scale, or unit-wide scale for units of comparable size, scope, and complexity. Performs complex and some undocumented administrative tasks. Acts as office liaison/receptionist. Drafts and sends communications on supervisor/departmental staff or college/division behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Operates standard office equipment such as personal computers, copiers, fax machines, etc. This role provides day-to-day operational support for the Manderson Graduate School of Business office suites. It coordinates, schedules, and attends all graduate committee meetings. Provides budgetary support and oversight for department operations and multiple graduate student organizations. Completes and submits payroll, accounts payable, and procurement documentation and forms. Produces monthly reports. Approves expenditures. Provides oversight for endowed funds. Serves as the scholarship coordinator for graduate student scholarship awards associated with the Manderson Graduate School of Business. Manages and supports contract submissions and branding/licensing approvals. Plays a vital role in the planning and execution of all office operational functions and processes. Supports graduate curriculum and catalog information management.

Requirements

  • High school diploma or GED and four (4) years of administrative experience; OR associate’s degree and two (2) years of administrative experience; OR bachelor's degree or higher.
  • Strong leadership skills.
  • Excellent communication and organizational skills.
  • Ability to work independently.
  • Analytical and problem-solving skills.
  • Ability to meet deadlines, produce reports and work well under pressure.
  • Ability to prioritize and be self-motivated.
  • Ability to assign and evaluate work of subordinates for effective operational processes.

Nice To Haves

  • Proficiency in using CIM/CourseLeaf and Course/program catalog inventory systems, SLATE, ASTRA, DENNY, AXIOM, Degree Works, GATOPS, ARGOS, ASAS, BANNER, OnBase, TouchNet, and Concur.
  • Experience supervising and evaluating staff personnel for annual performance reviews.
