About The Position

BAE Systems is looking for an Administrative Assistant to support the Software and Systems Engineering disciplines in our FAST Labs research and development team to provide professional, customer-focused support to its directors and staff. This R&D team in FAST Labs collaborates across the enterprise in support of research programs funded by the U.S. Department of War. On this team, you’ll have the opportunity to work with individuals that create and develop advanced technology capabilities in the areas of sensors and processing. In this role, you will perform diversified administrative duties for the Software and Systems Engineering discipline director, along with the Merrimack, Arlington, and Lexington Fast Labs site personnel. This role requires a high degree of problem solving, tact, initiative, and judgment, as well as a thorough understanding of business practices and procedures. Ability to coordinate and handle a wide variety of priorities and schedules while confidentially handling personnel data is required.

Requirements

  • Ability to obtain a DoW Secret clearance

Responsibilities

  • Support the Director and help coordinate and manage schedules and travel in alignment with the team’s needs
  • Meeting planning and coordination of in person and telepresence-based meeting tools
  • Expense/travel management and reimbursement processing
  • Monitor and replenish supply inventories
  • Coordinate office set-up, asset assignment, and other new hire logistics
  • Collaborate with IT and Security management to track status of our group's help desk tickets and ensure timely resolution, including tracking and ordering of the group’s laptop, desktop, and software needs
  • Conference room scheduling
  • Communicate key dates and information regarding Site Executive initiatives and activities
  • Coordinate catering and supplies for internal and customer meetings
  • Program Management and Special Project support
  • Support and coordinate with the FAST Labs administrative team as needed
  • Support other activities as necessary
