About The Position

The Administrative Assistant III provides senior level administrative support to the DARPA Adaptive Capabilities Office (ACO) Front Office, supporting the Office Director, Deputy Director, and Assistant Director for Program Management with calendar management, correspondence, visitor coordination, and high quality document preparation.

Requirements

  • Minimum of six (6) years of progressive experience providing high level administrative support
  • Experience directly supporting senior personnel at the GS-15 level or equivalent
  • Minimum of six (6) years of experience creating, compiling, and editing computer generated documents that include technical text and graphics
  • Experience dealing with the public and performing customer service tasks
  • Excellent oral and written communication skills
  • Excellent organizational and time management skills
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, SharePoint, Teams)
  • U.S. citizenship

Responsibilities

  • Maintain calendars for the ACO Office Director, Deputy Director, and Assistant Director for Program Management by creating and accepting meeting invitations, coordinating visit requests, and de-conflicting calendar events with at least 98% accuracy
  • Manage emails, telephone calls, and other messages on behalf of senior leadership and route or return calls and messages within four business hours
  • Receive and escort visitors in accordance with DARPA security policy and maintain a clean record of zero logged security incidents
  • Prepare, edit, and format correspondence, memoranda, briefings, and other computer generated documents that include technical text and graphics for senior leadership review
  • Schedule meetings, arrange conference calls, and coordinate logistics for office events, including room reservations, video teleconferencing, and material distribution
  • Conduct research and handle information requests from internal and external sources, providing accurate and timely responses
  • Support travel coordination by drafting travel authorizations, vouchers, and supporting memoranda using the Defense Travel System and applicable Government travel policies
  • Maintain organized file structures on classified and unclassified systems and ensure critical office documents can be located within 15 minutes
  • Track open actions, suspenses, and recurring administrative requirements on behalf of senior leadership and follow up to keep work on schedule
  • Communicate professionally with the Government, senior visitors, external stakeholders, and contractor teammates while clearly identifying as a contractor at all times during meetings, calls, and written correspondence
