About The Position

The City of Independence is seeking a highly qualified and motivated employee to serve our City as an Administrative Assistant III in our Municipal Services Department. As a member of the Municipal Services team, the Administrative Assistant III will be a part of a culture of innovation, initiative, and collaboration. This position will provide responsible and moderately complex clerical administrative support duties to assist primarily with the Water Production and Wastewater Treatment Divisions, as well as assist the other divisions within the department as needed. Formats and types letters, memos, and other correspondence. Answers the telephone and interacts with the public to respond to inquiries and requests. Will assist the administration with bookkeeping, accounting, and preparation of the annual operating budget. Compiles information and prepares basic narrative and statistical reports on a periodic basis. Enters and retrieves information into a computer to update records, process transactions or respond to requests for information. Logs, tracks, and maintains records on divisional activities. Processes invoices, requisitions, and purchase orders; monitors monthly expenses; orders supplies and equipment. Processes divisional employee payroll. Performs related duties as assigned.

Requirements

  • High school diploma or GED
  • Three to four years of progressively responsible administrative experience which includes some experience interacting with high level officials and managers
  • Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job
  • Valid driver’s license
  • Ability to complete NIMS training within six months of hire
  • Knowledge of office administrative practices and procedures such as business letter writing and operation of standard office equipment
  • Knowledge of computer usage and applications related to the work (including Microsoft office suite)
  • Knowledge of record keeping, report preparation, filing methods, and records management techniques
  • Knowledge of basic principles of accounting, budget, and finance
  • Skill in communicating clearly and effectively with others, both orally and in writing
  • Skill in using tact, discretion, initiative, and independent judgment within established guidelines
  • Skill in organizing work, setting priorities, meeting critical deadlines, and following up assignments with a minimum of direction
  • Skill in maintaining records of financial transactions and activities
  • Ability to learn, adapt to, and document changing conditions in a concise and effective manner in a team environment
