About The Position

Farm Bureau Financial Services is seeking an Administrative Assistant III to support multiple executive calendars and coordinate events. This role involves building relationships with key contacts across the organization and providing administrative support to IT departments. The ideal candidate will be proficient in managing calendars, arranging events, maintaining contact lists, and providing telephone coverage for management. Responsibilities also include managing administrative records, planning travel and meetings, attending meetings to take notes, and maintaining departmental files and the division website. This position requires an Associate degree in Office Administration or equivalent, proficiency in Windows, Microsoft Outlook, SharePoint, and Teams, and strong customer service and communication skills. Information Technology experience is preferred.

Requirements

  • Associate degree (Office Administration) or equivalent required.
  • Windows Personal Computer capabilities required, including proficiency in use of spreadsheets, word processing and email software.
  • Microsoft Outlook, SharePoint, and Teams experience required.
  • Must have good meeting planning/facilitation skills.
  • Must be able to maintain confidentiality.
  • Keyboard skills of at least 50 NWPM.
  • Strong customer service and public relations skills are necessary.
  • Oral and written communication skills as appropriate to this position.
  • Reasonably regular and predictable attendance.
  • Ability to read, write and speak the English language.
  • Applicants must be currently authorized to work in the United States on a full-time, permanent basis.

  • Information Technology experience preferred.

Responsibilities

  • Respond to and resolve customer service requests in a prompt, efficient and courteous manner for external customers, departmental staff, and other personnel always.
  • Assist with budget and expense management for assigned IT departments.
  • Manage calendars, set up appointments, arrange events, and maintain contact lists and for IT division management as requested, supporting multiple IT Leaders.
  • Provide telephone coverage for department management, as needed, responding appropriately to key vendor and industry contacts.
  • Build, maintain and protect the confidentiality of department administrative records, maintaining the currency of information necessary for IT management to manage departments.
  • Provide general office support for IT staff in assigned departments.
  • Plan and coordinate travel, meetings and other activities for department management and staff.
  • Attend select planning and department meetings, capture and type notes and action plans.
  • Maintain organization of departmental files and division website.
  • Perform other administrative duties as assigned.
