Requirements

  • Administrative certification or equivalent experience, e.g., spreadsheet/database management, accounting and business math, business communications.
  • Minimum of 3 years of directly related administrative support experience, preferably supporting senior leaders or business development teams
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and collaboration tools.
  • Demonstrated ability to manage multiple priorities, coordinate competing deadlines, and maintain a high level of accuracy and attention to detail.
  • Excellent communication, organizational, and interpersonal skills with the ability to interact effectively with internal and external stakeholders.
  • Proven ability to handle confidential and sensitive information with discretion, professionalism, tact, and diplomacy.

Nice To Haves

  • Experience with Oracle invoicing systems or similar enterprise business platforms is considered an asset.

Responsibilities

  • Provide proactive administrative support to the Head of Power Business Development by managing calendars, scheduling priorities, screening correspondence, and coordinating day-to-day activities.
  • Act as a key point of contact for internal stakeholders, responding to routine inquiries and supporting communication across the department.
  • Gather, input, and maintain data for budget-related activities, including monthly and annual reporting, variance tracking, and other cyclical financial processes.
  • Support departmental governance and compliance requirements by maintaining corporate governance records and diligence-related documentation.
  • Coordinate meetings, events, workshops, and team functions, including logistics, scheduling, meeting materials, and catering arrangements.
  • Maintain team documentation, databases, and filing systems by organizing, verifying, and archiving both electronic and hard-copy records.
  • Provide a variety of administrative services including preparing correspondence, presentations, spreadsheets, travel arrangements, expense reports, invoicing support, office supply management, records filing, and document notarization.
  • Manage the filing and recording of documents with county and public records offices.
  • Provide notary services to support departmental and business documentation requirements.
  • Other duties and tasks, as assigned.
