About The Position

The Maryland Transportation Authority (MDTA) owns, operates, and maintains eight major toll facilities across the State of Maryland. The Administrative Assistant III performs complex administrative and secretarial duties requiring independent judgment, discretion, and knowledge of office procedures and departmental operations. This position will work within the purchasing component of the MDTA Police Quartermaster Unit. The incumbent serves as support to supervisory staff and coordinates administrative activities related to purchasing, invoice processing, and office operations. Hybrid telework schedules may be available for this position. This recruitment may be used to fill future vacancies throughout the Maryland Transportation Authority (MDTA).

Requirements

  • Graduation from a standard high school or possession of a high school equivalency certificate
  • Five years of experience in secretarial work

Nice To Haves

  • Applicants may substitute additional secretarial or clerical experience on a year-for-year basis for the required education.
  • Applicants may substitute an Associate of Arts degree with a major in Secretarial Science from an accredited college for up to two years of the required experience.
  • U.S. Armed Forces military service experience as defined under the minimum qualifications may be substituted for the required education and experience on a year-for-year basis.

Responsibilities

  • Process and prepare purchase orders for meal chits and invoices
  • Process and coordinate supplies, materials, and equipment requests
  • Utilize the State Purchasing Card to process and reconcile monthly invoices
  • Review, track, and process vendor invoices to ensure timely payment
  • Work closely with Finance personnel regarding invoice payments and purchasing activities
  • Sort and distribute mail and monitor the Quartermaster email account
  • Reconcile monthly credit card logs and related purchasing documentation
  • Maintain files, records, and correspondence related to purchasing and administrative operations
  • Provide support for other administrative functions and duties as directed by the Quartermaster Commander
