About The Position

Stark State College is seeking a highly skilled and motivated Administrative Assistant III to provide advanced administrative and executive-level support to the Vice President of Strategy & Engagement, the Director of Workforce and Career Readiness, and the department. This position plays a vital role in ensuring the smooth and efficient operation of the Workforce and Career Readiness department by managing complex administrative processes, coordinating communication with internal and external stakeholders, and supporting strategic initiatives that connect students, employers, and the College. The successful candidate will serve as a key point of contact for the department, while helping establish effective processes and administrative practices that support the College’s mission and workforce development goals.

Requirements

  • Associate degree required (business, office administration, or related field preferred).
  • Five years of administrative experience, preferably supporting senior executives.

Responsibilities

  • Provide comprehensive administrative support to the Vice President of Strategy & Engagement and Director of Workforce and Career Readiness, including managing correspondence, reports, calendars, meetings, and confidential materials.
  • Serve as a key point of contact for students, employers, community partners, faculty, staff, and other stakeholders, ensuring inquiries are appropriately routed and receive timely follow-up.
  • Coordinate complex calendars, high-level meetings, travel arrangements, and shared departmental activities to support effective communication and collaboration.
  • Prepare, proofread, and edit professional reports, presentations, agendas, meeting materials, correspondence, and other official documents.
  • Support financial and administrative processes, including expense tracking, purchasing, invoice processing, budget documentation, and account reconciliation.
  • Organize and coordinate employer meetings, career events, workshops, and departmental activities, managing logistics, materials, communications, and follow-up.
  • Maintain accurate and confidential records, shared tracking tools, contacts, calendars, and administrative deadlines in accordance with College policies and procedures.
  • Coordinate the day-to-day administrative operations of the Workforce and Career Readiness department, including office procedures, meeting spaces, supplies, equipment, and incoming requests.
  • Identify opportunities to streamline administrative processes, improve communication, and implement best practices that strengthen departmental efficiency and service.
  • Support special projects and strategic initiatives led by the Vice President and Director, using sound judgment, discretion, and initiative to help advance the College’s workforce and career readiness goals.
