About The Position

The A220 program is looking for an Administrative Assistant to provide administrative support to both the Head of (HO) A220 and the overall organization. This role involves managing office administration procedures, correspondence, business and event arrangements, purchase orders/goods receipts, and travel requests/expense reimbursements. The team at Airbus U.S. Manufacturing facilities assembles aircraft, including three production lines for the A220 and A320 Family aircraft. The facility, located at the Mobile Aeroplex at Brookley, produces A320 Family aircraft and added a second product line for the A220 in 2019, strengthening the U.S. aerospace industry and enhancing Airbus' global competitiveness.

Requirements

  • Bachelor’s Degree in English, Business Administration, Communications or similar.
  • Minimum 2 years of progressive experience as an administrative assistant to a senior level manager.
  • Extensive Digital Workplace Knowledge (Google, GMail, GMeets, Smartsheets).
  • Ability to communicate effectively both orally and in writing.
  • Ability to maintain a complex schedule and cross-check with MMS calendar to prevent or reduce conflicts.
  • Detail-oriented with excellent proof-reading and writing skills.
  • Demonstrated ability to maintain confidentiality and handle inquiries in a confidential and discreet manner.
  • Vision: adequate to enter and read material on computer screens. Able to identify individuals to initiate greetings, the giving of directions and other business interactions.
  • Hearing: able to hear sufficiently to engage in conversation in office settings. Able to hear alerts and warning signals.
  • Speaking: able to engage in conversations in person and via electronic means and deliver information to groups of varying size with or without amplification.
  • Equipment Operation: Able to operate a wide range of personal and office electronic equipment.
  • Carrying: able to occasionally carry up to 30lbs.
  • Lifting: able to occasionally lift up to 50lbs.
  • Pushing/Pulling: able to push/pull items in office areas and on the shop floor.
  • Sitting: able to sit for extended periods of time at the computer and in meetings.
  • Squatting/Kneeling: able to occasionally squat or kneel to retrieve or replace items shelved on bottom shelves.
  • Standing: able to stand for extended periods of time delivering information.
  • Travel: able to travel domestically and internationally for short periods.
  • Walking: able to walk through office and production areas, around flight lines and airstrip sometimes on uneven indoor and/or outdoor surfaces.

Responsibilities

  • Drafts emails, letters, and other correspondence for the HO's signature and in response to general information requests.
  • Acts on requests requiring the approval/signature of the HO A220 Program and ensures timely submission.
  • Performs highly responsible duties of a confidential nature for the HO A220 Program, maintaining confidentiality and discretion.
  • Accurately processes and submits expenses and goods receipts in a timely manner.
  • Develops procedures for creating and maintaining files and Program records.
  • Provides sophisticated calendar management, prioritizing inquiries and troubleshooting conflicts with minimal guidance.
  • Makes complex domestic and international travel arrangements for the HO A220 Program and other designated personnel and customers.
  • Arranges for ancillary activities such as internal and external customer dinners/events.
  • Maintains the HO’s travel schedule and coordinates with others to maximize efficiency.
  • Assists in organizing Airbus participation in local events to reinforce the company’s professional image.
  • Cultivates relationships with local officials and community leaders to ensure continued support of the Airbus A220 Program.
  • Represents the HO A220 Final Assembly Line in meetings when appropriate and directed.
  • Ensures all matters are addressed by appropriate staff in the HO’s absence.
  • Leads and/or participates in the organization of company events.
  • Works closely with Assistants throughout the company for consolidated efforts on behalf of Senior Leaders.
