About The Position

The Tsui Group is seeking a qualified and experienced candidate to join our aviation team as an Administrative Assistant II in Los Angeles County. The role involves assisting with consultant timekeeping services, preparing and routing budgetary memos and requests, updating charge code lists, contract budget authorizations, and monthly expenditure data. The position also includes maintaining electronic files, training new users on the Timekeeping app, and performing various administrative, clerical, data entry, and report writing tasks. The Administrative Assistant II will receive direction from their supervisor, gather and compile data for reports, scan, fax, and bind documents, and may develop or revise reports. They will also be responsible for verifying data, distributing reports, originating correspondence, maintaining files, answering phones, and managing mail. The role requires maintaining an organized workspace, potentially representing the supervisor at meetings, and contributing to the company's goals through collaboration. Other responsibilities may be assigned as needed, including working beyond regular shifts or various shifts.

Responsibilities

  • Assisting with consultant timekeeping services
  • Preparing and routing budgetary memos and requests
  • Updating charge code lists, contract budget authorizations and monthly expenditure data
  • Updating and maintain electronic files located in shared environments
  • Training new Timekeeping app users
  • Perform a variety of routine and non-routine administrative, clerical, and data collection tasks for supervisor
  • Perform various administrative, clerical, data entry, and report writing tasks
  • Receive direction from immediate supervisor in completing non-routine assignments
  • Gather statistics and general data; review and combine this information into established reports for use internally
  • Scan, fax and bind documents, reports, and proposals as required
  • May develop new reports or revise existing reports, as directed
  • May be responsible for verifying data gathered, such as matching supplier invoices against file copies
  • Distribute reports as directed by immediate supervisor
  • Originate correspondence and reports not requiring the personal attention of immediate supervisor
  • Prepare general correspondence and maintains general files
  • Answer telephone, take and relay messages, screen callers and direct calls accordingly
  • Receive, sort, and distribute mail
  • Maintain an organized work space by keeping documents and supplies properly stored
  • May represent immediate supervisor at project-related or other meetings as directed
  • Contribute to the advancement of TDG’s goals through commitment to productive collaboration with all stakeholders
  • Perform other responsibilities associated with this position as may be appropriate
  • May assume other duties as required/needed
  • May be required to work beyond regular work shift as needed
  • Maybe required to work various shifts as needed
