Requirements

  • Experience answering phone lines
  • Experience using Microsoft Office
  • Knowledge of office and administrative procedures.
  • Knowledge of correct grammar, word choice, sentence structure, spelling and punctuation.
  • Knowledge of regulatory practices, principle and procedures.
  • Skill in verbal and written communication with staff, stakeholders and the public.
  • Skill in the use of personal computers, phone lines, including the use of Microsoft Office and the Internet.
  • Ability to organize workload and projects and implement program goals and objectives.
  • Ability to meet strict deadlines and work on multiple projects with rapidly changing priorities.
  • Ability to maintain confidentiality of document, materials, and information.
  • Ability to work independently with minimal supervision, evaluate situations and offer sound decisions in a timely manner.
  • Ability to effectively coordinate work activities between teams, groups or units to complete projects.
  • Ability to adhere to agency policies and procedures.
  • Ability to work effectively and cooperatively with co-workers, teams, managers, the regulated community, the public, and professionals.

Responsibilities

  • Manage incoming phone lines and address customer inquiries concerning mail and general administrative operations.
  • Coordinate, sort and distribute incoming mail, overnight and priority mail for the Radiation Section.
  • Maintain tracking logs for overnight packages and resolve issues regarding lost or misplaced mail.
  • Assist the billing team with file preparation, scanning and uploading documents to OnBase, and remittance list verification for new applications.
  • Approve online payments and upload to OnBase.
  • Support the billing manager with projects using VERSA, Excel and Word.
  • Perform general office tasks such as preparing files and making copies of checks.
  • Other duties as assigned include but are not limited to actively participating or serving in a supporting role to meet the agency’s obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation.
  • Participates and maintains readiness for emergency deployment as a member of the Department’s and/or Radiation Emergency Response Team, during an exercise and in an actual emergency.
