About The Position

The College of Liberal Arts and Sciences Theatre Program is hiring an Administrative Assistant II to serve in a frontline role within the department’s dynamic office environment, collaborating with faculty, staff, and students. The Department of Music and Theatre is committed to a philosophy of education that draws its goals from the larger purposes of liberal arts education and Iowa State’s vision to advance the land-grant ideals of putting science, technology, and human creativity to work. With strong undergraduate music and theatre programs, students study with full-time faculty professionals in a supportive environment that encourages students to become their best. This role will oversee general office administration tasks in the main Theatre office, create theatre programs, assist with publicity and marketing, supervise student office staff, update the department website and social media, serve as student job support and timekeeper for the department, process book orders and student course ratings, manage course and curriculum listings, and communicate with prospective students and their families about exciting opportunities at ISU.

Requirements

  • High school diploma or equivalent
  • 3 years of related experience
  • Candidates must be legally authorized to work in the U.S. on an ongoing basis without sponsorship.

Nice To Haves

  • Experience or education in the theatre or music fields.
  • Demonstrated experience providing administrative support to multiple stakeholders and coordinating multiple priorities or projects.
  • Experience preparing reports and other professional communications.
  • Financial transaction oversight and tracking experience.
  • Demonstrated customer service experience with a variety of constituents, along with proficiency in Microsoft Office Suite, calendar management, and Canva.

Responsibilities

  • Oversee general office administration tasks.
  • Perform a variety of administrative support activities, including preparing minutes, notices, agendas, and correspondence.
  • Assist the department chair with various administrative tasks.
  • Arrange calls, schedule meetings, and make travel reservations and itineraries.
  • Draft communication and proofread for grammar, spelling, and punctuation.
  • Plan and execute departmental events.
  • Assist faculty with auditions, purchasing scripts, coordinating travel, and other needs.
  • Collaborate with the department chair, administrative team, and recruitment committee on recruitment and scholarship activities.
  • Handle financial transactions, budgets and related documentation.
  • Conduct moderately complex research, gather data, and prepare reports.
  • Support the department chair in marketing efforts for the department.
  • Manage and maintain relationships with communications staff and patrons.
