About The Position

Iowa State University Research Park (ISURP) is currently accepting applications for an Administrative Assistant II. This role serves as the primary front desk and customer service initial point of contact for the organization. This role provides comprehensive administrative and operational support, with a strong emphasis on reception, tenant interaction, and handling inbound communications. The position ensures a professional and responsive experience for visitors, tenants, and partners while supporting internal operations and financial processes. This position will report to the Senior Manager, Finance and Business Operations.

Requirements

  • High school diploma or equivalent
  • 3 years of related experience
  • Candidates must be legally authorized to work in the U.S. on an ongoing basis without sponsorship. Immigration sponsorship is not available for this position.

  • Experience in a professional front desk role
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel)
  • Experience supporting administrative, financial, and/or operational processes requiring a high level of confidentiality, organizational skills, and attention to detail
  • Experience with accounting and/or customer relations management systems
  • Familiarity with document management and records retention protocols
  • Associate’s degree in a business-related field

Responsibilities

  • Serve as the primary front desk contact for ISURP
  • Greet visitors, tenants, and partners, and direct inquiries appropriately
  • Answer and manage the main phone line, route calls, and take messages
  • Coordinate scheduling of building events and meeting rooms
  • Receive, sort, and distribute incoming mail and packages to ISURP staff
  • Serve as the central point of contact for deliveries and courier services
  • Maintain office supplies and coordinate ordering and delivery
  • Coordinate digital and paper filing systems and records retention
  • Data entry to the organization’s customer relations management system
  • Coordinate travel itinerary and reservations for staff
  • Schedule ISURP team meetings
  • Support preparation, setup, and teardown of ISURP and partner events
  • Receive tenant payments and prepare bank deposits
  • Data entry of vendor invoices and tenant billbacks to the organization’s accounting system
  • Coordinate the collection of vendor W-9 forms and certificates of insurance
  • Recording and tracking of utilities for the entire ISURP campus
  • Support administrative process improvement initiatives
