The Administrative Assistant II is responsible for providing comprehensive support to the Chief Marketing Officer and Marketing leadership team. The incumbent plays a key role in ensuring the organization operates smoothly by managing priorities, supporting leadership coordination, and maintaining strong execution discipline across a fast-paced department. This role requires professionalism, strong judgment, and the ability to handle sensitive information while interacting with all levels of the organization.

Requirements

  • Must have a high school diploma or equivalent.
  • Must have 5–10 years of experience as an Administrative and/or Executive Assistant supporting senior leadership.
  • Must be proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Must have excellent organizational skills and attention to detail.
  • Must have strong communication skills, both written and verbal.
  • Must be able to operate independently while managing multiple priorities.
  • Must demonstrate strong judgment, discretion, and professionalism.
  • Must be comfortable working in a fast-paced, high-energy environment with shifting priorities.

Responsibilities

  • Provide administrative and operational support to the Chief Marketing Officer, including calendar management, meeting coordination, and travel arrangements.
  • Support leadership team through meeting coordination and other administrative support.
  • Coordinate all marketing team meetings and marketing-hosted meetings, including preparing agendas, compiling materials, and tracking follow-ups and action items.
  • Serve as a central point of coordination for the Marketing team, helping maintain alignment across leaders and functions as priorities evolve.
  • Process vendor invoices and support billing activities, ensuring timely and accurate submission and follow-through.
  • Track marketing spend to support visibility into budgets and expenses.
  • Manage travel and expense (T&E) reporting for the CMO and leadership team.
  • Act as a liaison between the CMO, internal stakeholders, and external partners as needed.
  • Maintain confidentiality for matters that may be proprietary, financial, or sensitive in nature.
  • Assist with coordination of team initiatives or projects, as needed, to support execution and organization-level priorities.
  • Perform other duties as assigned.
