About The Position

This position provides administrative assistance to the Nutrition Programs and Department on Aging Administrative Offices. It involves providing physical coverage for the office, answering inquiries, managing phone calls, directing clients, and preparing written materials. The role also includes data entry, conducting telephone assessments, attending meetings, assisting with administrative duties, substituting for the Congregate Meals Coordinator, covering the front desk, delivering Meals on Wheels routes, assisting with emergency shelter operations, and performing other related job duties as assigned.

Requirements

  • High school diploma or equivalent; three (3) to five (5) years directly related experience; or Associate’s degree and two (2) years of directly related experience; or an equivalent combination of education and experience.
  • Possession of a valid, State of North Carolina driver’s license to operate a motor vehicle.
  • Knowledge of County and departmental policies and procedures.
  • Knowledge of computers and job-related software programs.
  • Knowledge of aging and senior population and their needs.
  • Knowledge of program policies and procedures.
  • Skills in customer service.
  • Skills in prioritizing and organizing work.
  • Skill in oral and written communication.
  • Ability to relate well to the senior population and volunteers.
  • Ability to count money and give change.
  • Ability to effectively communicate and interact with management, employees, members of the general public and other groups involved in the activities of the County as they relate to the department.

Responsibilities

  • Provides physical coverage for the Department on Aging office during business hours, addresses public inquiries, answers phones, directs clients to proper program, and greets citizens and clients.
  • Answers phone calls for the Department on Aging administrative offices; provides information, guidance and assistance to citizens and clients.
  • Receives and delivers messages for departmental staff.
  • Makes referrals to department programs as needed.
  • Ensures a high standard of client support and community relations.
  • Prepares written materials for department (reports, forms, letters, menus, calendars, etc.).
  • Assists with data entry for department programs.
  • Conducts telephone assessments for home delivered meals.
  • Attends staff meetings and training as appropriate.
  • Assists with administrative duties as needed (photocopying, mailings, phone calls, etc.).
  • Substitutes for Congregate Meals Coordinator as needed or required.
  • Covers the front desk on a daily basis during lunch break.
  • Delivers Meals on Wheels routes when volunteers are absent.
  • Performs related duties as required or assigned by the Nutrition Program Coordinator and Department on Aging Director.
  • Assists with Emergency Shelter Operations when building serves as an emergency shelter.
  • Performs other related job duties as assigned.
