About The Position

Sentara Martha Jefferson Hospital is hiring an Administrative Assistant II for its Senior Leadership Operations team. This is a full-time, day shift position located in Charlottesville, VA. The role involves performing a variety of administrative tasks to optimize the time and performance of managers or department employees. Tasks include acting as a first point of contact, managing correspondence and phone calls, handling diaries, organizing meetings and appointments, preparing documents and reports, and controlling access to management or the department. This position may involve dealing with confidential information and will work alongside department leadership to provide consultation and education to division leaders and staff regarding policies, procedures, initiatives, and programs related to the department's function and areas of responsibility. The role participates in the planning and implementation of department-initiated programs, including support for ongoing monitoring. The Administrative Assistant II will design and prepare moderate to complex reports and create presentations in support of department operations or special projects using tools like Microsoft Office, report writers, databases, or proprietary systems. This role will specifically support the Director of Finance, Chief Nursing Officer, and Chief Medical Officer, handling scheduling, board minutes, preparation for three boards, and operational deliverables for routine reporting and presentation slides for leadership and boards.

Requirements

  • High school diploma required.
  • 3 years of administrative experience required.
  • MS Office experience including Excel with V lookup and pivot table capabilities required.
  • Ability to prioritize and multi-task required.

Nice To Haves

  • Associates or Bachelor degree preferred.
  • Background in Finance or Accounting highly preferred.
  • Experience supporting Senior Leadership and external boards highly preferred.

Responsibilities

  • Perform a variety of administrative tasks to optimize the time and performance of a manager or employees of a department.

  • Prepare documents or reports, and control access to the manager or the department.
  • Provide consultation and education to division leaders and staff regarding policies, procedures, initiatives, and programs related to the department's function and areas of responsibility.
  • Participate in planning and implementation of department-initiated programs, including support for ongoing monitoring.
  • Design and prepare moderate to complex reports and create presentations in support of department operations or special projects.
  • Handle scheduling and calendaring for the finance function.
  • Manage Board minutes and preparation for three Boards.
  • Provide operational deliverables for routine daily/weekly/monthly reporting (excel) and presentation slides for leadership and Boards.
