About The Position

San Diego Humane Society is hiring a part-time temporary Administrative Assistant II, Estate & Gift Planning for our Philanthropy team! At San Diego Humane Society, we’re united by our mission to Inspire Compassion, providing hope and advancing the welfare of animals and people. Reporting to the Sr. Director of Estate and Gift Planning, the Temporary Administrative Assistant II supports the timely handling of donor and prospective-donor inquiries, correspondence, database updates, file maintenance, and program materials. This role delivers service at the gold standard level in alignment with the SDHS Way, to meet the needs of animals and the people who love them by leading with compassion, finding creative solutions, providing personalized care and building connections. Requirements

  • Requires a high school diploma or equivalent, and a minimum of two (2) years of full-time experience working in an administrative capacity, or any equivalent combination of education and related experience.
  • High level of computer literacy is required.
  • Advanced MS Office skills required, including advanced knowledge of Excel, PowerPoint and Access or similar database applications.
  • Must have a high level of sensitivity, integrity and honesty in handling confidential financial and donor information.

Nice To Haves

  • Associate or bachelor’s degree preferred.

Responsibilities

  • Place weekly calls to welcome new Humane Heritage Circle members and thank for support; offer and host tours as appropriate.
  • Provide concierge service to Humane Heritage Circle members seeking information and services, from adoption to in-kind donations and more.
  • Process all new Humane Heritage Circle members in donor database and create welcome letters and surveys.
  • Process all planned giving inquiries in the donor database and create informational letters.
  • Process and keep updated paperwork for members of the Pet Guardianship Program, including maintaining files on their pets, coding in the database, and sending welcome materials.
  • Manage pre- and post-event communication and donor data collection for quarterly estate planning seminars.
  • Coordinate all planned giving marketing communications, serving as liaison with marketing vendors, securing internal review and ensuring all communications are sent.
