About The Position

This position provides essential administrative support to the Early Childhood Education (ECE) Lab located at the North Las Vegas (NLV) campus. Its responsibilities include, but are not limited to, providing customer service, performing general office tasks, and supporting the daily operations of the ECE Lab.

Requirements

  • Working knowledge of early childhood education terminology, practices, and the operational needs of a licensed early childhood education program.
  • Ability to interact appropriately with infants, toddlers, and preschool-age children and understand developmentally appropriate practices when supporting the ECE Lab environment.
  • Ability to communicate effectively and professionally, both orally and in writing, with young children, families, ECE staff, CSN students, faculty, administrators, regulatory agencies, and community partners.
  • Ability to provide classroom, program, and administrative support to agency/program staff and managers while following established procedures for child supervision, health and safety, positive guidance, confidentiality, and overall program operations.
  • Ability to learn, understand, and apply Nevada Child Care Licensing requirements and ECE Lab Program policies and procedures.
  • Ability to use program management and office software (Procare, Touchnet) to support enrollment, billing, attendance, employee records, family communication, and other ECE Lab operations.
  • Working knowledge of administrative support functions.
  • Ability to receive, review, and process a variety of documents according to established guidelines, policies, regulations, and timelines.
  • Graduation from high school or equivalent education and two (2) years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records, answering telephones, and reviewing forms, documents and other written materials; OR one (1) year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience.

Responsibilities

  • Provide front-office and receptionist support for the ECE Lab Program, including greeting and assisting children, families, staff, CSN students, visitors, and community partners; responding to inquiries; and providing accurate program information.
  • Perform general administrative and office functions, including preparing correspondence and program communications, maintaining office supplies, operating office equipment, and processing incoming and outgoing mail.
  • Maintain accurate and confidential child, family, employee, student, and program records in accordance with ECE Lab Program requirements, CSN policies, and applicable regulatory requirements.
  • Coordinate administrative processes associated with child enrollment and reenrollment, including maintaining the program waiting list, communicating with prospective families, conducting pre-enrollment tours, and processing required enrollment documentation.
  • Utilize ProCare and other program management and office software to support enrollment, attendance, billing, family communication, recordkeeping, reporting, and daily program operations.
  • Perform program financial and accounting functions, including billing, collection of fees, deposit transactions, and maintenance of required financial documentation.
  • Maintain ECE Lab Program website content and assist with program communications and informational materials.
  • Maintain timesheets and payroll records for intermittent and student employees and calculate leave for intermittent employees.
  • Utilize program management software and computer software, including Word, Canva, and Excel.
  • Support compliance with Nevada Child Care Licensing and other applicable regulatory and accreditation requirements, including maintaining and tracking required documentation, background checks, employee qualifications, training records, and program records.
  • Maintain confidentiality and exercise professional judgment regarding information concerning children, families, employees, and CSN students in accordance with ECE Lab Program procedures, CSN policies, applicable laws and regulations, including HIPAA and FERPA requirements.
  • Provide operational and classroom support as needed to maintain continuity of ECE Lab services, including assisting in classrooms during staff absences, breaks, meetings, or other program needs while following established supervision, health and safety, positive guidance, and program procedures.
  • Demonstrate respect for the individual identity, culture, abilities, background, and family structure of each child, family, employee, and student, and communicate professionally and respectfully in all interactions.
  • Refrain from inappropriate communication, including gossip, regarding children, families, and employees of CSN.
  • Perform other duties related to the operation and support of the ECE Lab Program as assigned.
