About The Position

The Administrative Assistant I provides administrative support for the operations of the Action Card unit. This role performs routine and well-documented administrative tasks, acts as an office liaison/receptionist, and handles incoming phone calls, emails, and guests. The position involves maintaining files, entering data, and operating standard office equipment such as personal computers, copiers, and fax machines. The Action Card system is a critical campus enterprise system processing over 8 million transactions annually, including significant financial transactions and managing a large active cardholder database. It supports various campus services, physical card production, a mobile card program, and multiple campus integrations. The system operates 24/7, requiring on-call availability for nights, holidays, and weekends to provide essential cardholder services. This role also includes mobile card provisioning and front-line customer service for in-person troubleshooting.

Requirements

  • High school diploma or GED or higher.
  • Must have valid U.S. driver's license.
  • Must be at least 19 years of age at time of hire.
  • Must have an acceptable Motor Vehicle Report that is in compliance with University policies.
  • Strong verbal and written communication skills.
  • Customer service skills.
  • Strong technical skills.
  • Ability to learn specialized vendor applications/web-based computer programs.
  • Ability to demonstrate self-motivation and initiative to expedite customer service resolutions.
  • Ability to interpret complex and multi-phased processes and applications to expedite customer service resolutions.
  • Ability to communicate and interpret technical information with both the customer base and vendor support personnel.
  • Ability to create written technical instructions/dispute information for both the customer base and vendor support personnel, in both an individual and group environment.

Nice To Haves

  • Associate's degree or higher.
  • Three (3) years of relevant customer service experience.
  • Experience with setting up smartphones.
